Privacy policy

ADIOffice is operated by deKoning Technologies, registered with the Dutch Chamber of Commerce (KVK 42186582) ("we", "us"). This policy explains what we collect when you use ADIOffice, why, and how we keep it safe. We never ask for, collect or store your RSA or MyEDT login details.
1. Who is responsible for what
- Your account: we are the controller of the details you give us to run your account.
- Your students' details: you are the controller of the information you keep about your students. We process it only on your behalf and only to provide ADIOffice to you.
2. What we collect
- Account details: your name, email address, phone number and, if you add it, your ADI number.
- Information you add about your business: students (names, contact details, driver numbers, dates of birth, notes), EDT lesson records and photos of signed logbook pages, your schedule and bookings, lesson payments, cars, expenses and your booking settings.
- Booking requests: if you use the optional booking page, the name, email address and phone number a student enters when requesting a lesson.
- Technical data: IP addresses and basic request logs, used to keep the service secure (for example to limit repeated sign-in attempts).
3. Cookies
ADIOffice only uses cookies that are needed to keep you signed in. We don't use advertising or tracking cookies, and this website doesn't use analytics that track you.
4. How we use it
- To provide ADIOffice: your schedule, students, payments, finances and the emails it sends for you (such as booking confirmations).
- To keep your account and data secure.
- To contact you about your account, security and important changes.
We never sell your data or your students' data, and we never use it for advertising.
5. Where it's stored and how it's protected
Your data is stored in Western Europe on Cloudflare's infrastructure. All data is encrypted at rest (AES-256) and in transit (HTTPS). Logbook photos are private: they're only shown to you after you sign in. Passwords are stored as salted hashes, never in readable form.
6. Service providers
We use a small number of trusted providers to run ADIOffice, each only for its own task:
- Cloudflare: hosting, data storage and the security check on public forms.
- Resend: sending emails, such as booking confirmations and password resets.
- Google: only if you choose to sign in with Google.
We may also disclose information when the law requires it.
7. Your rights
Under the GDPR you can ask to access, correct or delete your personal data, or object to how it's used. You can edit or delete the student information you've added at any time. To make a request, email support@adioffice.ie. You can also complain to a data protection authority: the Data Protection Commission in Ireland (dataprotection.ie), or the Autoriteit Persoonsgegevens in the Netherlands (autoriteitpersoonsgegevens.nl).
8. Changes
If we change this policy in a meaningful way, we'll update the date above and let you know by email.
